Thinking of Using G-Suite Think Again

Business productivity apps can make or break an organization. Previously, we discussed the differences between Google’s G-Suite and Microsoft’s Office 365. While there’s plenty to like in both platforms, consider these G-Suite drawbacks before you make a decision.

The Learning Curve

G-Suite is popular largely because of the widely used Gmail. Although Gmail is user-friendly, the rest of G-Suite can be tedious for the uninitiated. Moreover, apps like Google Docs, Sheets, and Slides feel like a low-tech version of their equivalent Microsoft program (Word, Excel, PowerPoint, etc.).

While this is not exactly a problem, it can be confusing if you are used to the functions and features of Microsoft’s ubiquitous products.

Compatibility

While many Google apps are similar to Microsoft’s, both platforms’ apps are incompatible with one another. Because of this, formatting and layout problems can occur when opening a Word file in Google Docs or vice versa.

The problems are generally mild, but they are there. Microsoft’s proprietary extensions for Word and Excel are as common as they are popular. Your organization may be able to switch over to G-Suite full-time, but odds are, your clients, contractors, and vendors are still using Microsoft applications.

In addition, serious problems on document layout and formatting can arise. Adding to the frustration, the Google versions are more limited in their features. Google Sheets, for example, may work fine for simple spreadsheets or uncomplicated ledgers, but it’s not as robust as Microsoft Excel. If you need complex formulas, you will likely find Sheets lacking.

Limited Mobile Function

There are also some limitations when attempting to manage G-Suite from a mobile device. Its mobile web interface isn’t as intuitive as it could be, which can cause frustration. You may find navigating the entire suite tedious as well since there is no one “G-Suite” app.

Organization Can Be a Challenge

The folder / file management system in G Suite also isn’t very intuitive. It can sometimes be a challenge to recall documents that were worked on previously. This problem becomes more noticeable the larger your team is and, of course, the more data you produce and store.

For smaller teams, this likely won’t be an issue. But for larger companies, proper organization can turn into a nightmare.

Calendar Feels Outdated

If, like many organizations, you often use calendar to set appointments or meetings, you might find G-Suite’s calendar outdated, simplistic, and clunky. However, the biggest issue will be when scheduling appointments or sending invites to other organizations. There is little crossover to be had with Outlook’s calendar, and scheduling can be tedious across platforms. Realistically, more organizations are using Outlook than Gmail.

The Bottom Line

Gmail is almost synonymous with emails these days, but Microsoft still reigns supreme when it comes to productivity apps. One of the largest drawbacks of G-Suite, in particular, is its compatibility issues with Microsoft products, which can be a challenge when sending and receiving documents from third parties.

G-Suite has made improvements in recent years, but with a company like Google behind it, it’s a safe bet they will continue to develop the platform. For now, Microsoft products remains more popular and more widely used.

For small businesses — and ones without complex data and document needs — G-Suite offers an adequate solution for a fair price. However, if you manage a large team that’s poised for greater growth, Microsoft products is a more compelling choice.
